Become an Accommodation Partner of BS Business Travelling
Do you have a room, apartment or flat in Hannover or the surrounding area and would like to make it available during trade fair periods or for business travellers? BS Business Travelling organizes short-term accommodation for trade fair visitors, exhibitors, business travellers and companies.
We handle guest communication, check requests, prepare offers, manually confirm bookings and handle payment processing with the guest. The accommodation partner receives the individually agreed payout amount.
Important: In this structure, BS Business Travelling does not operate as an open online platform on which landlords independently sell bookings to guests. For confirmed bookings, BS Business Travelling acts in its own name as the provider of the accommodation service towards the guest, unless expressly agreed otherwise in an individual case.
Which Accommodations Can Be Accepted?
We generally accept only accommodations that are suitable for trade fair guests, business travellers and short-term stays.
The following points are particularly important:
- Location in Hannover or the surrounding area
- Clean and well-maintained apartment or room
- Private shower or bathroom
- Kitchen or cooking facilities
- Suitable sleeping arrangements
- Reliable key handover
- Internet/Wi-Fi, if available
- Honest photos and realistic description
What Information Do We Need?
To review your accommodation and consider it for suitable requests, please send us the following information:
- Photos of the accommodation
- Address of the accommodation
- Short description of the apartment or room
- Number of possible guests
- Number of beds and bedrooms
- Information about bathroom, kitchen, Wi-Fi and parking
- Your contact details
- Your price expectation or desired payout amount
- Available periods, especially during trade fairs
Good photos significantly increase the chances of successful bookings. The rooms should be photographed as close as possible to the condition in which guests will later find them.
General Conditions for Accommodation Partners
1. Start of Cooperation
The cooperation begins when the accommodation partner sends BS Business Travelling information, photos, contact details, availability or price expectations for an accommodation and BS Business Travelling generally accepts the accommodation into its internal selection.
Inclusion in the internal accommodation selection is generally free of charge for the accommodation partner. There is no entitlement to mediation, booking or regular occupancy.
2. Role of BS Business Travelling
BS Business Travelling organizes short-term accommodation for trade fair guests, business travellers and companies. For confirmed bookings, BS Business Travelling may act in its own name as the contractual provider of the accommodation service towards the guest.
The accommodation partner provides the accommodation to BS Business Travelling as a service partner. The accommodation partner does not automatically act as the direct contractual partner of the guest, unless expressly agreed otherwise in an individual case.
3. Request and Booking Process
BS Business Travelling manually checks guest requests and asks the accommodation partner whether the accommodation is available for the requested period.
The accommodation partner should confirm or decline a request within 24 hours whenever possible. A confirmed booking is binding. After confirmation, the accommodation must not be offered to another guest for the same period.
4. Availability and Calendar
The accommodation partner must inform BS Business Travelling immediately if the accommodation is not available during certain periods, has already been booked elsewhere or cannot be used for any other reason.
Double bookings, incorrect calendar management or parallel commitments to other guests, agencies or platforms are the responsibility of the accommodation partner.
5. Price and Payout
The accommodation partner informs BS Business Travelling of the amount they wish to receive for a specific booking or period. BS Business Travelling calculates the final price towards the guest independently.
The accommodation partner has no right to disclosure of the calculation, margin or final price agreed by BS Business Travelling with the guest.
The payout to the accommodation partner is based on the individually agreed payout amount. No fixed commission or fixed percentage is automatically agreed unless expressly confirmed in writing.
Payouts are usually made within 3 to 7 working days after the guests have checked out, provided that the guest has paid and there are no open complaints, damages, refund claims or other unresolved issues.
6. No Direct Payment Acceptance Without Agreement
The accommodation partner may not accept payments directly from the guest for a booking organized by BS Business Travelling without prior agreement.
Additional agreements with guests, follow-up bookings or circumvention of BS Business Travelling are not permitted without prior approval.
7. Preparation of the Accommodation
The accommodation must be clean, ventilated, tidy and handed over in a condition suitable for trade fair guests and business travellers.
The accommodation partner ensures in particular:
- fresh bed linen
- at least two towels per guest, unless otherwise agreed
- clean bathroom and clean kitchen
- working heating, water, electricity and lighting
- working appliances, if offered
- sufficient toilet paper and basic consumables
- clear information about Wi-Fi, key handover and house rules
8. Personal Belongings
The accommodation partner must remove or securely lock away personal, valuable or sensitive items before guests arrive.
This includes in particular documents, cash, jewellery, private photos, personal clothing, medication, confidential papers and other private belongings.
The accommodation should be prepared in a neutral, tidy and guest-friendly condition.
9. Key Handover and Availability
The accommodation partner is responsible for reliable key handover and return, unless another solution has been expressly agreed.
During the stay, the accommodation partner or a named contact person must be reachable for urgent questions or problems.
Late check-in after 23:00 is possible only by prior agreement. An additional fee may be agreed individually.
10. Cleaning and Support During the Stay
For longer stays, light cleaning, towel change or bed linen change may be useful. Access to the accommodation during the stay may take place only by agreement with the guest.
The privacy of the guest must be respected during the stay.
11. Complaints and Defects
Complaints or defects must be checked immediately and, where possible, resolved quickly. The accommodation partner agrees to actively cooperate in the case of justified complaints.
If a defect was caused by the accommodation partner or is not resolved in time, this may lead to a reduction of the payout, a refund to the guest or further compensation claims.
12. Cancellation by the Accommodation Partner
After confirmation of a booking, the accommodation partner may cancel only for an important reason. Important reasons may include fire, water damage, a serious technical defect or another verifiable impossibility of use.
The following are not important reasons:
- double booking through other portals or agencies
- a later booking with a higher price
- forgotten calendar management
- private change of plans without compelling reason
In the event of culpable cancellation, double booking or non-performance, the accommodation partner may be required to reimburse BS Business Travelling for costs incurred. These may include additional costs for replacement accommodation, transport costs, refunds to guests and lost remuneration.
13. Damage, Key Loss and Liability
Damage caused by guests must be documented immediately and reported to BS Business Travelling. Photos and receipts should be provided where possible.
BS Business Travelling supports the clarification process but does not automatically assume liability for damage, key loss or personal belongings of the accommodation partner, unless BS Business Travelling caused the damage intentionally or by gross negligence.
14. Legal Authorization and Local Regulations
The accommodation partner confirms that they are entitled to provide the accommodation for short-term guests.
The accommodation partner is responsible for compliance with all legal obligations, in particular rental law, ownership law, tax law, registration law and local municipal regulations.
The accommodation partner confirms in particular that the accommodation is used for short-term stays only within the legally permitted limits in total across all distribution channels, unless an official permit required by law is available.
For accommodations in Hannover, it should be noted in particular that short-term paid use of residential space as a holiday apartment, guest accommodation or workers' accommodation may require official permission if the permitted limits are exceeded.
15. Taxes and Charges
The accommodation partner is responsible for the tax treatment of their income and for fulfilling all tax obligations.
This may include income tax, VAT, local charges or other reporting and declaration obligations, where applicable in the individual case.
BS Business Travelling does not provide tax advice.
16. Data Protection
The parties process personal data only to the extent necessary for the cooperation, handling requests, performing bookings or complying with legal obligations.
The accommodation partner undertakes to treat guests' personal data confidentially and to use it only for the respective booking purpose.
17. Termination of Cooperation
The accommodation partner may request removal of their accommodation from the internal selection. However, already confirmed bookings remain binding and must be fulfilled.
BS Business Travelling may remove an accommodation from the selection if the accommodation partner breaches obligations, repeatedly fails to respond to requests, fails to fulfil confirmed bookings or does not comply with quality standards.
18. Final Provisions
German law applies. The place of jurisdiction is Hannover, where legally permissible.
If any provision of these conditions is or becomes invalid, the validity of the remaining provisions remains unaffected.
